A community credit union moves 180 users to Microsoft 365 with zero downtime
An aging on-premises Exchange server and file cluster were due for replacement. CloudSprint planned and executed a migration to Microsoft 365 with retention, DLP, and examiner-ready documentation.
Sample case study. Details are representative and will be replaced with a real engagement.
The challenge
The credit union’s Exchange 2016 server and file cluster were out of support. Replacing them on-premises meant another six-figure hardware cycle. Moving to the cloud raised questions from the board about data residency, retention, and examiner expectations.
What CloudSprint did
Discover. We inventoried every mailbox, shared drive, and application integration, and modeled the cost of on-premises replacement against Microsoft 365 over five years.
Design. The target design used Microsoft 365 with Entra ID single sign-on, seven-year retention policies, data loss prevention rules for account numbers, and eDiscovery configured for legal and regulatory requests. We documented every control against FFIEC and NCUA expectations before the first mailbox moved.
Migrate. Mailboxes moved in four weekend waves by branch. Files migrated to SharePoint with permissions mapped from the old structure. Old and new ran side by side until every wave was verified.
Optimize. Ninety days after cutover we reviewed licensing and reclaimed 22 unused seats.
The result
Two racks of hardware were decommissioned. Staff gained Teams and mobile access they had never had. The examiner review that followed used the migration documentation as its primary evidence and closed with no findings.
“Our examiners asked more questions about the migration than our members did. Members did not notice. Examiners got a binder.”
